Begin with the manual and records
Send the vehicle identification, current mileage and most recent service history. Note what is documented and what is unknown; an undocumented item should not be marked completed.
The manufacturer’s specifications and the actual driving pattern guide the plan. Ask about time limits as well as mileage rather than choosing one interval for every vehicle.
Bring current concerns into the request
Mention slow starting, warning messages, leaks, unusual noises or poor cabin heat separately from routine maintenance. Those concerns may require diagnosis instead of a standard service package.
Describe parking and access conditions for an on-site visit. Weather, slope and equipment can affect the proposed work. Tire services should be arranged with an appropriate tire provider.
Review a defined plan
The estimate should identify each proposed service. Approve the work you want performed and ask how additional findings will be handled.
Keep the completed-work record and the next recommended date or mileage. A seasonal review is a planning service, not a guarantee against every future breakdown.
